Tachodisc, a leading provider of analogue and digital tachograph equipment, training and analysis, is to increase business productivity by 75 per cent by implementing an enterprise resource planning system (ERP) and document management solution from Advanced Exchequer (Exchequer). The planned go-live is March 2015.
Tachodisc required an ERP system which could fully integrate into its Gold-Vision CRM solution to streamline the reporting of financial and non-financial data and improve customer communication. Exchequer was chosen following a competitive tendering process involving six suppliers.
Mark Johnston, Senior Commercial and IT Manager at Tachodisc, explains: “We found it reassuring that Exchequer is the software author of its solutions instead of being a reseller. We were also very impressed by its functionality and Exchequer’s proven ability to integrate into our chosen CRM system which will provide us with a unified view of the business.”
Exchequer’s ERP solution will automate several paper-based processes to reduce administration time and costs. The finance team will be able to view consolidated and up-to-date debtor lists to speed-up cash collection and the need to manually re-key the 40,000 sales orders Tachodisc receives each year will be eliminated. In addition, the document management functionality will facilitate fast delivery and retrieval of scanned sales invoices and related documents to help resolve payment disputes.
The system’s advanced reporting capabilities will enable better forecasting of stock levels and product assembly requirements. Anticipated lead times to maintain tighter control of costs and financial decision making will also improve.
Johnston comments: “Exchequer will transform our productivity levels by 75 per cent and cut administration costs by eliminating manually-intensive processes. Our accounts department will gain immediate access to up-to-date financial information so they can focus more strategically on chasing debtors to positively impact the business’s cash flow.”
Exchequer’s solution will interface with Tachodisc’s CRM system and corporate website to provide an integrated e-commerce portal. Existing customers will be able to place orders remotely through their Exchequer account without the need to enter credit card details, 24 hours a day, and review their purchase history. Orders are then automatically uploaded into the ERP solution which generates and distributes a sales invoice to ensure a paperless process.
The sending of order acknowledgements, stock availability updates and confirming the despatch and delivery of goods will also be automated to enhance customer service levels and improve efficiency.
Johnston adds: “The integration of Exchequer into our CRM solution will significantly improve the communication we have with our customers. It will allow us to increase the speed of order fulfilment and maximise online sales revenues and repeat business.
“Improved reporting will also give us greater visibility into our business performance and assist us to create more profitable sales and marketing campaigns.”
